Marketing Coordinator

The Marketing Coordinator will support the Marketing team in daily administration, proposal production, business development activities and interview preparation. Reports directly to the Marketing Director. This is an entry level position with growth potential.


Proposals and Interview Support
•Regularly monitor IPS and other online RFP/RFQ systems to track and identify potential new work.

•Create layout for all RFP/RFQ responses and interview presentations.

•Coordinate and implement RFP/RFQ content, feedback and edits from Marketing Director, Principals and team members.

•Provide Quality Control and production of all proposal and interview materials.

•Assist with production & mailing of proposals and other marketing materials Data Maintenance.

•Gather, format and maintain accurate, up-to-date firm marketing information including project descriptions and statistics, media mentions and other information for marketing purposes.

•Collect new employee bios, resumes, project list updates, etc.

•Update and maintain CRM with project data, historic & current, opportunities data, people (internal/staff) data, project data reporting and business development information.

•Conduct market research as needed.

•Assist Graphics Director with maintenance & updates of website, adherence and implementation of firm graphic standards, marketing materials and imagery archives.

•Support Firm Public Relations initiatives as needed for external and internal PR

•Register and coordinate firm representation at various industry conferences

•Willingness to work the occasional 40+ hour weeks including potential weekend hours

•Provide support at industry related events in and outside of normal business hours as necessary.

•Other administrative support duties as assigned

•Proficient with Adobe Creative Suite (InDesign and Photoshop, in particular), Microsoft Office (Word, Excel and PowerPoint) and CRM Education + Experience

•A bachelor’s degree in marketing, journalism, English, graphic design or architecture is preferred, but not required.

•Minimum of 2 years marketing experience in the A/E/C industry
